Part-time Bookkeeper

Who We Are: Since 1956, The Milwaukee Youth Symphony Orchestra (MYSO) has been nurturing, challenging and inspiring young minds through music. MYSO is one of the largest and one of the most successful and respected after school youth orchestra programs in the nation. We serve more than 6,000 students ages 8-18, and MYSO is regularly recognized for its artistic excellence.

About the Role:  We are looking for a part-time Bookkeeper to join our ensemble. Under the direction of the Chief Financial Officer, this role will provide financial accounting services to  MYSO, including accounts payable, accounts receivable, bank account management, reconciliation tasks, and payroll processing. The bookkeeper will operate in accordance with industry standards, approved policies and MYSO’s mission to ensure the fiscal integrity of our financial position.

This part-time position is expected to average 15 hours per week; and will be in the office 2-3 days each week. 

Key Responsibilities:

Accounts Payable – Perform day-to-day accounts payable transactions including:

  • processing checks for payment
  • expense report reconciliation
  • bank wire transfers
  • researching and resolving payment issues
  • registering all transactions in our accounting system

Accounts Receivable – Perform day-to-day accounts receivable transactions including:

  • resolving collection issues (charge backs, returns, bad checks)
  • registering all transactions in our accounting system
  • balancing deposits on bank statements
  • logging, posting, and balancing petty cash as needed
  • working with office manager to ensure recording of revenue and receivables

Financial Reporting – Perform reconciliations and provide financial reports.

  • record day-to-day financial transactions and complete the posting process
  • reconcile payroll taxes, 403(b) contributions and bank accounts at the end of each month
  • reconcile and close books monthly; run monthly reports and produce financial statements for review as required
  • coordinate the collection of data and work with the Chief Financial Officer to prepare financial reports.
  • prepare quarterly payroll reports
  • assist with tax preparation

Payroll – Perform full charge payroll processing

  • prepare and process monthly payroll
  • gather payroll information, reconcile with payroll system, and ensure payroll entries are complete accurate payroll processing

Philanthropy and Fundraising

  • work collaboratively with the Philanthropy team on grant and fundraising accounting.
  • provide financial reporting and budget analysis for all grant proposals.
  • ensure grant and fundraising accounting and reconciliation complies with all financial regulations, statutory laws, generally accepted accounting practices, and contractual requirements.

General

  • streamline bookkeeping processes where possible
  • build and maintain effective relationships with the MYSO staff to drive and maintain strong financial operations
  • ensure the maintenance of financial records and record-keeping systems to ensure compliance with all financial regulations, statutory laws, generally accepted accounting practices, and contractual requirements.
  • provide technical/professional advice and knowledge on bookkeeping/accounting matters, as requested
  • keep current with accounting/bookkeeping best practices, developments, and trends

What it takes to be our Part-time Bookkeeper:

  • bachelor’s degree in accounting, finance, or related field, or commensurate work experience
  • 5 years of bookkeeping/accounting experience, with at least 2 years of experience with a not-for-profit organization
  • proficiency in QuickBooks; proficient computer skills (Microsoft Suite); proficiency in Microsoft Excel is required.
  • experience running full charge payroll in QuickBooks
  • working knowledge of generally accepted accounting principles and financial reporting
  • commitment to delivering high quality work; detail oriented and accuracy of work
  • excellent verbal and written communication skills,
  • a strong commitment to high ethical standards and professionalism, including maintaining and protecting the confidentiality of business information, management information, and employee information.
  • excellent technical and analytical skills, strong organizational skills, and the ability to prioritize to meet deadlines in a fast-paced and dynamic environment

Salary will be commensurate with experience and skills.
